Getting Started

Placing an order should be quick and seamless, so we've provided multiple options for accessing checkout. 

 

Home Page

When you upload a file or paste a URL on the Home page, it will automatically be sent for AI transcription, unless you have turned this feature off in your order preferences. If it is turned off, your file will be uploaded to your account but no order will be placed. This applies to every subscription except for Pay Per Minute accounts, where the feature is turned off by default.

Automatic AI transcription orders placed through the Home page use your order preferences for verbatim and language preferences. You can change those settings prior to placing an order under order preferences in your account settings. 

You can place an order for multiple files at once. Either select multiple files when uploading, or paste multiple URLs before clicking on Add. 

Once your file is uploaded, you can see how many minutes have been deducted from your subscription plan.

 From the confirmation pop-up menu, you can: 

  • Edit the location of your file by specifying which folder it should be saved to (My Files is the default location)
  • Go to file to view the folder or workspace the file is saved in. 
  • Start an additional order to place an order for other services such as AI captions and human-captured transcription, captions, and subtitles. 

 

Existing File

You can place a new order for a file that you have already uploaded by locating the file in your account and clicking on the mceclip1.png ellipses menu to the right of the file name, then selecting Start an order

Multiple Files

You can start a new order for multiple existing files at once by checking the box to the left of the file names and then selecting Start an order at the top of the page.

Checkout Interface

When you start an order, the checkout interface will open to guide you through placing your order. On the left, you can see the file/s you've selected and the total length of those files. On the right is a list of Rev's services.

Once you select a service, the purple continue button will be clickable.

When it comes to speech-to-text solutions, one size does not fit all. This is why we offer multiple services across AI and human-captured solutions, with multilevel customization to suit your needs. Click on the service below to learn more about it.

Transcription

Rev's Human Transcription service involves human transcribers who carefully work on each transcript. This service is designed to provide you with a written document that accurately captures all the English dialogue spoken in an audio or video file in any of the following formats:

  • .docx
  • .pdf
  • .txt

Transcription Add-ons

After you have selected Human Transcription as the service you want to order, you will see optional add-on services on the left along with your order summary on the right so that you can see how each add-on influences the price of your order before proceeding. If you have a paid subscription, your human services discount will also be visible in the order summary.

Timestamps

Timestamps are a useful add-on when it comes to reviewing your transcript. Each word in the transcript is synced to the audio. You can click any word in the transcript, and the audio will jump to that point. This makes reviewing and editing the transcript a breeze.

When you download your transcript, timestamps will be visible with every speaker change. You can choose whether to show these timestamps by checking or unchecking the Include timestamps box after you click Download

Verbatim

A standard (non-verbatim) transcript is lightly edited for readability. This is the preferred choice for most people.

A verbatim transcript contains all speech exactly as spoken. This includes things like:

  • Filler words (uh, um)
  • False starts ("She only had 10...I mean, she only had 15 minutes.")
  • Stutters ("He w-wasn't too s-s-sure about it.")

Our standard transcripts will still capture the content of the conversation as spoken, only with the above edited out to provide a cleaner read. Standard transcripts are not paraphrased.

The verbatim option must be selected at checkout before the order is placed. We aren't able to add verbatim to an existing order. If the toggle isn't enabled the default is a standard (non-verbatim) transcript.

Verbatim orders involve more extensive work for our agents, so it is important to note that turnaround times may be longer due to this reason. 

 

Rush My Order

With Rush, all files in your order are delivered up to 5x faster than our standard turnaround. Files are prioritized for completion and completed by our top transcriptionists. 

The rush option must be selected at checkout before the order is placed. We aren't able to add rush to an existing order.

 

Premium Transcription

Premium Transcription takes Rev’s Standard Transcription Service and elevates it to a higher quality.

With Premium Transcription, once your initial transcript is complete, an expert review is done by one of our best transcriptionists. The benefit is a higher quality file, though the process for completing a second review means that your file takes longer to complete than with Standard Transcription.

Premium Transcription price is in addition to Standard Transcription.

Professional Speaker Name Reconciliation

Long files are split into multiple segments so that our team of transcriptionists can work on them at the same time. We then combine the segments and deliver them to you in a single document. Because of this, Standard Transcription speaker names may be inconsistent for files over 30 minutes. With Premium Transcription, the speaker names are corrected to be consistent throughout the entire file during the expert review. 

 

Include Resources

If you have resource documents that you want to include with your order, you will have the option to upload the files when placing a Premium Transcription order. The transcriptionist who works on your file will use the documents as a reference. Some examples of resources may include:

  • Glossary/terminology documents
  • Scripts

 

Custom Requirements for Enterprise Customers

Enterprise customers can work with their account manager to add special instructions to their orders. Some examples of special instructions may include: 

  • Replacing speaker names with customized labels
  • Using specific conventions such as acronyms vs full terms

 

Burned-In Time Codes Sync

This setting is part of our Premium Transcription add-on and can only be toggled if Premium Transcription is selected. 

When you include the timestamps add-on with your Standard Transcription order, your transcript will include timestamps that start at 00:00:00. With Premium Transcription, you have the option for timestamps to start from the on-screen timecode burned into your video instead of zero. This applies to video files that have on-screen timecode only.

The on-screen timecode must run consistently. At this time, we do not support time jumps.

Captions

Captions display a program's audio content as text on-screen. They help viewers understand auditory information when the sound is muted, unavailable, inaudible, or if the viewer is deaf or hard of hearing.

The end product for captions is what is known as a sidecar file. It's a versatile, text-based file that you can then add to your video by uploading the caption file to the online platform where your video is hosted or burning into the video itself. This is the industry standard for closed captions. When you order captions with Rev, all of our caption formats such as SRT, SCC, and more, are included for free.

Captions Add-ons

After you have selected Human Captions as the service you want to order, you will see optional add-on services on the left along with your order summary on the right so that you can see how each add-on influences the price of your order before proceeding. If you have a paid subscription, your human services discount will also be visible in the order summary.

Speaker Language

At this time we only offer captioning for English and Spanish source videos, though we may add other languages in the future. We do not translate non-English/Spanish speech into English/Spanish. If you have a video that is not in English or Spanish and you need closed captions, we recommend AI Captions.

 

Burned-In Captions

Captions come in two forms, closed captions and open captions. Closed captions can be turned on or off by the viewer on their media device and are the default captions order. Open captions, also known as burned-in captions always display on screens since they're burned directly onto the video track. When you add burned-in captions to your order, you will still have access to all the closed caption formats we offer.

 

Premium Captions

Premium Captions takes Rev’s Standard Caption offering and elevates it to conform to broadcast criteria, also known as FCC compliance. 

Here is a quick guide to help you understand the differences between Rev’s Standard and Premium Captions and when it’s best to choose Premium for your video content.

Special Instructions Examples

  • Do not caption lyrics that are not sung by the participants themselves.
  • Always format this phrase as follows: “How U Do’in?”
  • Always use speaker labels even for off-screen speakers.

 

Silent Tag Description and Example

For extended periods of unchanging music, silence, or other sounds, an atmospheric will be used every 8 to 10 seconds.

E.g. (bell ringing continues)

Not all side-car caption file formats contain caption location or placement information. Here is a chart to help navigate which formats are right for your use case:

Rush My Order

With Rush added to your order, all files in your order are delivered up to 2x faster than our standard turnaround. Files are prioritized for completion and completed by our top captioners.

Subtitles

Global Subtitles are intended for viewers who can hear what is being said in a video but cannot understand the language being spoken. Global Subtitles are available in many different languages.

Our global subtitle service takes an English source video and creates subtitles in another language, such as Spanish, Chinese, or Portuguese. In other words, a subtitle order is English > Other Language.

We offer the following subtitle formats (click any file name to download a sample file of that format):

Subtitles Add-ons

After you have selected Global Subtitles as the service you want to order, you will see language selection and optional add-on services on the left along with your order summary on the right so that you can see how each add-on influences the price of your order before proceeding. If you have a paid subscription, your human services discount will also be visible in the order summary.

Burned-In Subtitles

By default, global subtitles are delivered as side-car files. To receive a video with your subtitles permanently burned-in you can add this service. You will still have the option to download all side-car file formats with your order.

AI Transcription

AI Transcription is a more cost-efficient and speedy alternative to human transcription services. 

We offer the following AI transcription formats:

  • Microsoft Word (.docx)
  • PDF (.pdf)
  • Plain Text (.txt)

Caption formats can be downloaded with AI transcription orders, however, the syncing and caption groups are not as accurate as with a captions order.

Once you have selected your preferred service and any add-on services, you can review your order summary and click Continue to place your order. 

 

Order Resources

After your order is placed, you can add supporting information to your order. Depending on which service you selected, you may be able to add:

  • Glossary Terms
  • Speaker Names
  • Scripts

Order Progress

Once your order is placed, you will see In Progress under your file status. As soon as your order is ready, your file status will change to Complete. Depending on your account settings, you will receive an email as soon as your order is complete. 

Orders placed with a URL may take longer to process if our system experiences any issues with accessing the files.
