This article explains how to access, download, and edit your completed transcripts in Rev. We'll cover the various download options, the built-in transcript editor, and quality control features.
Accessing Your Transcripts
Once your transcript is ready, you'll receive an email notification. You can access the transcript directly through the link in the email or by logging into your Rev workspace. All completed transcripts are stored within your workspace for easy access.
*For users working with us under HIPAA compliance, your transcripts will only be accessible via your Rev account.
Downloading Your Transcripts
Rev offers multiple download formats depending on the type of transcript you ordered:
- Instant First Draft & Human Rough Draft: These transcript types can be downloaded in Word (.docx) or ASCII (.txt) format. You have further customization options, allowing you to specify the number of characters per line, lines per page, and whether to include a cover page.
- Ready to Certify: RTC transcripts are formatted during production using the template you selected during the checkout process. Ready to Certify does not have an in-platform editor due to your template choice, so you cannot select different download options when the transcript is complete—you’ll need to choose Word or ASCII beforehand. Your transcript will arrive as a download-only document that’s formatted correctly. If you have any questions about the templating used, please contact legalsupport@rev.com.
Using the Built-in Transcript Editor
This feature can only be used for Instant First Draft or Human Rough Draft.
For Instant First Draft and Human Rough Draft transcripts, Rev provides a built-in editor that allows you to make quick edits. If you’re looking for fully formatted documents delivered directly to you, consider ordering our Ready to Certify transcripts or set up an enterprise account for fully customizable Ready to Certify Premium transcripts.
Here's a breakdown of its key features:
- Synced Text and Audio/Video: The editor seamlessly synchronizes the text with the corresponding audio or video, making it easy to navigate and review your transcript. For example, if you click on a word in the transcript, our editor will automatically jump to the section of corresponding audio.
- Speaker Labels: Easily change speaker labels using the convenient drop-down menu. Our speaker labeling edits mean that you can change all of the speaker labels at once.
- Designations (Q&A, Colloquy, Evidence Marking): Easily designate each paragraph or monologue as Q, A, Colloquy, Byline, and other legal markup in our online editor by editing the speaker label for each paragraph, or start a new paragraph by hitting enter to designate it as a new type of dialogue. When you download your transcript as an ASCII or Word document, it will give you an array of legal formatting options that will automatically format your Q, A, and Colloquy based on your specifications.
- Find & Replace: Use the Find & Replace function (command + F) to make consistent changes throughout your transcript.
