Add, Manage, and Share Files

Rev file management gives individuals, teams, and departments the tools to manage their files and folders securely. For video tutorials scroll to the bottom of this article. 

 

Add Files

Your Home page in your account has an upload box where you can: 

  • Upload files from your device or cloud storage (Dropbox, Box, One Drive)
  • Drag and drop files stored on your device
  • Paste a URL to an online file
  • Import files from Google Drive
  • Upload a ZIP folder stored on your device

 

When pasting a URL, please ensure the file is easily downloadable and not locked behind a password or set to private. 

You can also add files using the +New button in the top right of your account. 

Uploaded files will automatically be transcribed, and the minutes will be deducted from your monthly balance. If you want to turn this off, visit your Account Settings, then go to Order Preferences, and scroll down to AI Transcript Settings. Click EDIT on the right, and uncheck the box next to Auto Transcribe with AI.

Note that a transcript will still be produced even if this feature is turned off, however, it will not use your available minutes. If you choose to open the transcript in the future, you will need to confirm deducting your available minutes to view the transcript.  

 

Manage Files

Once files are uploaded into your account you have various options to manage them within your Workspace

Create an order

Once your file is uploaded you can create an order by clicking on the next to the file name and then select Start an order.

Rename

Renaming your files can help you easily identify a manage your files within your Rev Workspace. To rename a file from your Workspace select the ellipses next to your file name on the far right-hand side and click on Rename

The current name of the file will become editable and you can then enter the new name. Hit Enter/Return to save your changes.

Please note that our system may have some trouble accepting special characters in file names. We do not recommend using special characters.

Move 

You can move files and folders between workspaces and folders. When you click on the ellipses menu to the right of a file and then select Move.

The move menu will pop up with a list of workspaces you can move the file/folder to. Click on a workspace to save the file to that workspace or click on the arrow next to the workspace to select a folder within that workspace. The purple highlighted name is where your file will be moved to. 

You can also create a new folder from the move menu by clicking on

Folders

From your workspace, you can add a new folder by clicking on Add Folder in the top right corner.

In the pop-up menu, type the name of the new folder and then click on Create to add the folder to your workspace. 

Once a folder is added to a Workspace, you can use the ellipses menu to the right of the folder name to rename, move, view, and delete the folder. 

If you delete a folder all files in the folder will be permanently deleted, and will not be retrievable.  

Delete

When you delete a file it is permanently removed from our servers, and we will not be able to retrieve it for you. Please ensure you've downloaded everything you need before deleting a file.

You can also delete folders with all of their contents. Please ensure that you have saved backups of all files in a folder before you delete it. When you delete a folder all files in the folder will be permanently deleted. 

To delete a file, visit your Workspace from the left panel menu and click the ellipsis menu ellipses menu to the right of the file that you want to delete. Click Delete

 

You will need to confirm that you want to delete the file.

 

You can bulk delete files by checking the box to the left of each file/folder name and then select Delete from the top menu. 

Download

You can download a file by clicking on it to open the file in the editor, then click on Download .

Insights

Color Tag

Color tags can be added to your files to group files for different use cases, such as priority, project, client etc. 

When you move your cursor over a file the tag icon will appear. Click on it to assign a color tag to that file. 

You can click on the tag again to change the color or to remove the tag. 

You can filter files in your Workspace by clicking on the tag filter at the top of your file list, checking the boxes next to the files you want to include in your view and then clicking on Apply

 

Share Files

Every file has a shareable URL that is created when the file is uploaded. File access control is managed via the Share Module. Users on the access control list of a file can access the file via the shareable URL.

Share from your workspace

To the right of the file you want to share, click on the context menu icon mceclip1.pngand choose Share from the dropdown menu.

 

 

Share from the editor

Once you have the editor open you can click on Share Transcript at the top of the editor page. 

 

Share from the mobile app

To the right of the file you want to share, tap on the context menu icon mceclip1.pngand then tap Share Link.

 

Once you've opened the share menu, you can click on copy link or enter an email address to send the link to the person you want to share the file with. 

You will also need to set the General Access to determine who has access to the file. 

Anyone in this org

Only other members of the shared account can access the files. 

To verify that the person who is accessing the link is in your organisation, they will need to sign in to access the file.

Anyone with the link

Anyone with the link can access the file. They don't need to sign in because no access restriction.

Restricted

Only users with an account linked to the email address you added to the share list can access the file. There is no limit to how many email addresses you can add. 

To verify that the person who is accessing the link is accessing it from the email address you added to the share list, they will need to sign in to access the file.

Once you've selected who can access the file, you need to select if they can only view files (Viewer) or if they can edit the file (Editor). 

Please be careful when sharing your files with Editor access. Changes made cannot be undone once that instance of the editor has been closed. 

 

Shared File Settings

You can click on Share again to open the share options for that file. Here you can modify permissions, remove users, or get a shareable link. Click Save to update the access settings.
