Multi-File Insights

Rev Insights is an AI-powered analysis tool for case evidence and documents. Instead of reviewing files one by one, you can add all your materials to one chat and let the AI analyze them together: transcripts, audio and video recordings, PDFs, Word and text documents, images and clips.

Whether you're preparing for depositions, analyzing evidence, or building case strategy, Rev Insights acts like a research assistant that has read and memorized every document in your case.
Follow these steps to get started and make the most of the tool.

Getting Started

Click on Rev Insights from the left menu to open Insights. Alternatively, you can select multiple files and then click on Insights above the files to open Insights with the selected files already loaded.

Add Your Files

Rev Insights has three panels. Add files in the right-hand Files panel:

  • click Choose a file to add files already in your Rev account;
  • click Upload from device to upload new files from your computer.

To remove files, click on X next to the file name.

All uploaded files are saved to your My Files folder to be accessed later. Uploaded audio and video files will be automatically transcribed.  

 

File Types and Limits

You can add audio, video, PDF, Word (.docx and .doc), TXT and image files, as well as transcripts and clips already in your account. Spreadsheets (CSV, XLS, XLSX) can be uploaded but aren’t analyzed yet. To analyze a spreadsheet, save it as a PDF first.

  • Audio and video: up to 20 GB per file.
  • Documents and images: up to 71 MB per file.
  • Scanned PDFs: up to 71 MB and 1,000 pages. Rev reads them with optical character recognition (OCR).
  • Files in one chat: Free 5, Essentials 10, Pro 50, Enterprise/Unlimited up to 500.

Image Upload

Image analysis is available on Pro and Enterprise/Unlimited plans. On Free and Essentials, images upload and preview, but the AI doesn’t read them.

 

Add images to a chat to ask questions about what they show. Answers include citations, so you can click one to see exactly which image was used. The AI can read images up to 20 MB. For a larger or detailed image, save it as a PDF first, so Rev reads it with OCR.

Ask Questions

Type your question in the chat box at the bottom of the center panel, then press Enter (Return on a Mac) or click the send arrow. Be specific about what you’re looking for. For example:

  • What are the main disagreements between witnesses?
  • Find all mentions of [specific person/topic/date]
  • What contradictions exist in the testimony?
  • Summarize what each witness said about [specific event]

Verify Information

The AI's response will include citations to your source files. 

Click on the citations in AI responses to see exactly where the information came from. The document will load on the right with the citation highlighted.

It's crucial always to check the AI's work.

Document Editor

You can create documents from the information you collect in Insights. After collecting information through Insights, you will see a Draft Document button. The document editor will open in a new panel on the right.

You can then edit the document before downloading. All of your citations will be included in the document, which you can toggle on or off.

Save and Return Later

Everything saves automatically, and the left panel menu is where you can access your previous sessions. From the left panel, you can:

  • Open previous sessions
  • Start a new chat
  • Rename a session
  • Delete a session

Troubleshooting

If Files Won’t Upload

  • Check that the file type is supported (see File Types and Limits).
  • Check the file size: documents and images up to 71 MB, scanned PDFs up to 71 MB and 1,000 pages, audio and video up to 20 GB.
  • Check how many files are already in the chat. The limit depends on your plan: Free 5, Essentials 10, Pro 50, Enterprise/Unlimited up to 500.
  • Upload directly from your computer instead of a cloud service such as Dropbox or OneDrive. Direct uploads are the most reliable.
  • If a large file keeps timing out, split it into smaller files.
 

If the AI Gives Unclear Answers

  • Ask more specific questions.
  • Reference particular files: "Based on the deposition transcript, what did the witness say about..."
  • Break complex questions into smaller parts.
 

If You Can’t Find Previous Work

  • Check the Rev Insights homepage for your session history.
  • Look in the document library within your current session.
  • Sessions are saved by date and the files you were analyzing.

Remember: Rev Insights works best when you treat it like a research assistant. Give it clear instructions, verify its work, and build on its insights with follow-up questions.
