Meeting Hub and AI Notetaker

Rev Notetaker is an AI meeting assistant that automatically joins meetings to create a transcript of your meeting. You can connect your Google and Microsoft calendars to the Rev Notetaker meeting bot to automatically join any Zoom, Google Meet, Microsoft Teams, or Webex meeting you have within your calendar, or paste a link to add a meeting not on your calendar.

If you don’t see the Meeting Hub or Notetaker options in your account, you might have a Legacy account. Notetaker is available to subscription plan users, excluding Rev Max. Contact support@rev.com if you’d like to know more about upgrading to a newer account.

  • Meetings where I am host: Notetaker joins only meetings you are hosting.
  • External meetings outside your organization’s email domain: Notetaker joins only meetings that include people outside your organization.
  • Internal meetings within your organization’s email domain: Notetaker joins only meetings with people inside your organization.
  • Meetings I manually select: Notetaker joins only the meetings you turn on yourself with the Add Rev toggle.

Adding Notetaker to a Meeting

Rev Notetaker is an AI meeting assistant that joins your meetings on your behalf to take detailed notes and create summaries with action items. Whether you’re late or unable to attend, Notetaker still joins and captures a full transcript of the meeting in real time, and you can collaborate on the live transcript. When the meeting ends, Notetaker generates a summary of the topics discussed and follow-up action items. You can also ask the Notetaker chatbot questions and request follow-up emails to generate insights and complete tasks.

Once your meetings are added to your Meeting Hub, you can add Notetaker to join the meeting. Notetaker will record and transcribe meetings that it is added to.

Click on the toggle next to Add Rev for any upcoming meeting to add Notetaker.

Add Rev toggle in the off position.

Meetings that have already been added will have a purple toggle. You can also click on the toggle again to remove Notetaker.

Add Rev toggle in the on position, shown in purple.

If you have auto-join enabled in your settings, Notetaker will automatically join your meetings without the need to manually toggle on the meeting. Which meetings are automatically joined depends on your meeting hub settings.

Once you add Notetaker, you will see a confirmation pop-up at the bottom of the page.

When you add Notetaker to a recurring meeting, a Schedule Notetaker for a recurring meeting window opens. Choose This event, This and following events, or All events, then click OK.

Schedule Notetaker for a recurring meeting window with the options This event, This and following events, and All events, and Cancel and OK buttons.

Some meeting platforms require approval for attendees not on the original invite list to be accepted into the meeting. Notetaker appears in the participant list as “[Your first name]’s Rev Notetaker,” and the host or an attendee needs to admit it. If your Notetaker request to join is denied or ignored, the meeting will not be captured in your Rev account.

Notetaker Troubleshooting

If your Notetaker did not record a meeting, a few factors may be preventing the Notetaker from joining or recording the meeting.

If Notetaker wasn’t admitted to the meeting

If the host or an attendee doesn’t admit Notetaker, it leaves the meeting and nothing is captured. Your Meeting Hub may show Unable to Record or Host Denied Notetaker. To try again, paste the meeting link into the Paste meeting link box in your Meeting Hub and click Add, then ask the host to admit Notetaker.

If the meeting host isn’t in the meeting

Depending on the meeting platform, the Notetaker may be unable to record the meeting or join the meeting without the meeting host present.

If Zoom host settings prevent recording

The host settings in Zoom may prevent Notetaker from recording. In the host’s Zoom account, go to Settings > Recording and turn on these settings:

  • Record to computer files
  • Internal meeting participants
  • External meeting participants

Zoom account Settings > Recording page with Record to computer files turned on for internal and external meeting participants.
