Rev provides multiple options for downloading your files.

VoiceHub

If you have a VoiceHub account, your experience may be different. Visit the Download Transcripts article to download your VoiceHub files.

Download From Your Order History

You can download your files from your Order History. This is a great option if you need to download multiple files from a single order.

Access your order by clicking the order number on your Order History. If you're downloading an individual file, click Download next to the file name. If you'd like to download all files in an order, scroll to the bottom of the file name list and click Download all documents as ZIP.

Download From Your Workspace

To download your file directly from your Workspace, click the ellipsis menu (...) next to the file name, then select Download

Batch Download from Your Workspace

To download multiple files from your Workspace, check the box next to each file you wish to download, then click the blue Download link at the top of the screen.

Currently, you can only batch download files of the same order type (i.e. transcription, AI transcription, or captions/subtitles). If you've selected files of different order types, the Download option will be grayed out. You can easily identify which service the files are for by the different icons to the left of the file name.

Folder downloads are not supported at this time.

Downloading From The Editor

If you click on your file name, the file will open in our online editor. Once you have reviewed and or edited your file, you can download it by clicking on download .

Download Settings and Options

Regardless of where you download your file from, once you click on download a pop-up menu will appear with different options for you to select before finalizing your download. Click on the service below to learn more about the download settings for each service.

Transcription

When you click Download, a popup appears. You can from select one the following formats by clicking the arrow on the right side of the File Type box:

  • Microsoft Word (.docx)
  • PDF (.pdf)
  • Plain Text (.txt)

In addition to selecting the format, you can choose to include/exclude speaker names from your downloaded transcript. If you purchased timestamps, you can also include/exclude these from the transcript.

If you've highlighted certain parts of your transcript and want to export only those sections, you can check the box that says Export highlighted sections only. If you export the entire transcript, highlights will be retained in the downloaded transcript.

Once you've selected the output format and export options you need, click on Export to download your transcript.

Links In Your Transcript

When downloading your transcripts from your Workspace page or from within the editor, the header and timestamps will include a link back to the editor. These links will match your permissions and allow someone to edit the file for up to 30 days.

If you wish to limit this ability or offer a "view only" or "ready only" version for recipients, use the Share option and set a restriction to "view only." You can then send out this link to recipients, or copy the Share link, launch it in your own browser, and download the file to distribute.

Captions

When you order captions with Rev, all of our caption file formats are included for free.  You can select which format to download by clicking on the Output File Format(s) box and selecting the format you want to download. You can download multiple formats as a .zip folder by selecting more than one format.

You can offset your captions to have a later start time by clicking on Advanced Options and then entering the new start time. Because we create captions based on the file length, all caption files have a 00:00:00.000 start time by default.

Downloading Your Burned-In Video

Rev now offers burned-in captions delivered as an MP4 video file. You may add this feature at checkout or add burned-in captions to a previous order.
Once your order has been completed, to review, customize, or reprocess your burned-in captions video, select your file from your Workspace page. That should open it up in our Customer Editor.
If you then click on the download button, in the top right of the Customer Editor, you'll see a popup that has the SRT and Video file formats listed. Remove the SRT file format so that only Video remains, then select the option to Customize, and click next.

That will then take you to the burned-in captions customization options. Once you're done making your changes, click on Generate Video to reprocess the burn-in.

The burned-in video will not be downloaded instantaneously like the other caption output formats; instead, you will be notified via email once your burned-in video is ready, which takes roughly one-fifth of the length of the video (i.e. a 10-minute video may take about 2 minutes to burn the captions in).

Subtitles

When you order subtitles with Rev, all of our subtitle formats are included for free. We offer the following formats (click any file name to download a sample file of that format):
